Summary
The Executive Secretary for the Counseling Department is a key member of a dynamic team serving the office of American School Dhahran. The position is primarily responsible for providing administrative support to the counselors.
Job Duties
The successful candidate will be expected to:
- Demonstrate a commitment to the safety and security of children and young people (child protection)
- Provide information regarding counseling services at ASD
- Manage counselors' appointment calendar and daily schedule
- Organize and prepare documents for meetings, including preparing the meeting agenda and taking minutes
- Manage counseling office documents
- Organize and manage all events run by the counseling department, such as junior info night, senior info night, etc
- Manage and organize standardized testing (PSAT, SAT, ACT)
- Be part of the safety and emergency team
- Maintain communication and working relationship with all stakeholders, especially with the admission coordinator and registrar
- Take initiative in prioritizing tasks to ensure deadlines are met and the overall administrative function of the school runs smoothly
- Respond to urgent requests
- Exercise reasonable judgments
- Provide customer service and meet informational needs of all ASD stakeholders (staff, students, parents, and ISG personnel)
- Maintain a safe learning environment for students and staff at all times
- Perform other duties as assigned by the Principal
Qualifications and Knowledge
The ideal candidate will have:
- Minimum of Bachelor’s degree in a related field of study
Experience and Skills

Experience
- Experience in secretarial role in a school setting (preferred)

- Outstanding verbal and written communication skills
- Highly developed organizational skills
- Excellent knowledge and understanding of the use of IT in an administrative role
- Maturity to handle a range of situations
- Loyalty and a high level of confidentiality
- Ability to exercise reasonable judgments
